External-Facing Steps

Do you need external participants (customers, vendors, suppliers, etc.) to take action without having to log in or learn another app? Pipeline makes that easy with external-facing steps that work purely through email. 

Email notifications and reminders

External-step step owners will receive email notifications and reminders when they become the current step owner.

By default, email notifications will be from alert@pipelineapp.io, and the sender name will be [Your Company] via Pipeline. Add-On Note, the sending domain and the FROM: address can be customized with a subscription add-on.

Notice, the step instructions are embedded in the email so that they have everything they need to complete their step.

By the way, don't forget to tell them to whitelist alert@pipelineapp.io so that these emails don't accidentally go into SPAM.

Complete external step

1. Click the 'View and Complete' button
2. Fill out your name, email address, and any required fields including file uploads
   • Required fields have an asterisk next to the name
3. Save your progress: If at any point you need to leave, click 'Save' so all of your progress is saved
4. Once you have completed the step click 'Complete' and you will see that your step is closed!

Pipeline will auto-save forms every 30 seconds so you never lose progress!

Upload files 

To upload a file, just click Upload or Take Picture and select the proper file(s) from their computer, cloud storage (Box, Google Drive, or OneDrive Business) or take a picture from directly their camera (webcam or mobile device).

Reassign step

Sometimes your external-step owner is not the right contact or cannot complete the step by themselves. In that case, they can complete what they can, then reassign the step to someone else on their team. 

The new step owner will automatically be notified by Pipeline to complete this step. And since Pipeline automatically saves their progress, the new step owner can easily pick up where the original step owner left off.

Reopen step

Did your external step owners complete their step accidentally? Need to quick change? Just click the Reopen this step link on the confirmation screen to reopen the step.
